    The basic function of the Administrative Assistant is to provide administrative support to a group of engineers and to assist the administrative staff.

    The Administrative Assistant provides routine administrative, clerical office functions for all staff under the direction and close supervision of the Office Manager or designee. Duties include general clerical, receptionist and project-based work. The Administrative Assistant must project a professional company image through in-person and phone interaction.


    • Operating the telephone system; welcoming visitors to the office; and directing visitors and callers to the appropriate person within the firm.
    • Preparing reports under the direct supervision of the Technical Editor.
    • Maintaining confidentiality and preserving the integrity of company information.
    • Maintaining office supplies inventory, telephone and various office equipment needs by checking stock to determine inventory level; anticipating needed inventory; placing and expediting orders; verifying receipt; and coordinating
    • maintenance of office equipment.
    • Performing general clerical duties, including but not limited to: photocopying, scanning, faxing, mailing, package tracking, filing, office organization and presentation.
    • Maintaining project hard copy and electronic filing.
      Assisting with client contact database data entry and maintenance.
    • Receiving, signing for and distributing packages received.
    • Shipping samples as needed.
    • Setting up and coordinating meetings, conferences and travel arrangements for staff.
    • Maintaining and distributing staff contact information and general company information to staff.
    • Receiving, processing and distributing incoming mail and accounts payable invoices.
    • Assisting the accounting department with securing revenue by verifying client receipts and resolving discrepancies.
    • Maintaining cleanliness of common areas.


    • Requires a High-school diploma or equivalent.
    • Knowledge of Adobe Acrobat and Microsoft Office, including Word and Excel.
    • Knowledge of the operation of standard office equipment.
    • Knowledge of clerical and administrative procedures and systems such as filing and record keeping.



    • Valid California drivers license
