The basic function of the Administrative Assistant is to provide administrative support to a Group of Engineers and to assist the Administrative Staff.
Assist the Administrative Manager with word processing duties to support the engineering group and administrative staff; including specifications, excel spreadsheets, sketch description forms, affidavits, narratives and other paperwork associated with the CD/CA phases of a project.
Responsible for typing and editing of Word Processing items and correspondence as needed. This may include but not limited to Memos, CAD Release forms, Field Reports, Letters, Substantial Completion Reports, and Large reports.
Type, edit, and format engineering documents as needed using MS Word.
Perform other office duties as needed including photocopying of specifications, reports, plans, or any other office-related documents, taking care to track or allocate to appropriate project, scanning, PDF, filing, faxing, keeping department area neat, and any other administrative duty required by engineers or principals.
Assist other administrative staff as needed.
Additional duties may be assigned to meet business needs.
Must have 3+ years of administrative experience.
Must be able to work in a fast-paced environment with demonstrated ability to multi-task.
Must have can-do attitude and service orientation.
Must have experience with editing and formatting large documents or book specifications.
Must have knowledge of clerical office practices and procedures.
Must have knowledge of the following computer software applications: MSWord, Excel, and Outlook; knowledge of Newforma software a plus.
Must have high level of interpersonal skills and the ability to effectively interact and communicate with individuals at all levels of the organization.
Typing speed minimum 60 wpm.
Must have high level of time management skills.
Work requires attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
Present oneself in professional attire and demeanor at all times.
Must have knowledge and be able to use office equipment, including photocopiers, facsimile machines, desktop calculator telephone systems, postage meters, and GBC or other binding machines.
NV5’s usual work schedule is Monday- Friday from 8AM-5PM (with a one hour meal break at mid-day). Regular attendance at work is essential for this position. This job is performed primarily in an indoor office environment and requires an employee to perform in a safe manner at all times the following essential functions and capabilities:
