    The Marketing Assistant assists the Marketing Department with day-to-day operational activities. In this role, you will perform routine and non-routine tasks in a fast-paced, changing environment with the ability to handle multiple tasks and prioritize several concurrent projects. The ideal candidate will be eager to grow and take on additional responsibilities.

    Responsibilities

    • Performs day-to-day administrative duties for the marketing department.
    • Monitoring all business leads by tracking opportunities and requesting RFP’s.
    • Tracking and coordination of attendance at industry events, conferences and tradeshows. This may include event registration, hotel reservations, processing sponsorships etc.
    • Perform database entry into Deltek Vision system. This may include entry of letter proposals, managing all contact updates and address changes, all database entry for department as well as running reports.
    • Post social and business events, employee updates and notable project wins on social media accounts (e.g. intranet, Twitter, Facebook, Linked In, Instagram)
    • Will assist on special projects to help support marketing and business development group including mailers, press releases, web edits, presentations, client events and project write-ups.
    • Attending marketing and business development meetings, taking and distributing meeting notes.
    • Assists with the production of quality qualification packages to meet deadlines for submission.
    • Will assist with administrative tasks including, collating, organizing, binding, downloading photos, and photocopying, as needed.
    • Keeping inventory of trinkets and marketing supplies.
    • Coordination of AIA seminars. This may include scheduling, preparing materials, ordering lunch, completing certificates.
    • Will demonstrate excellent interpersonal skills when interacting with clients, co-workers, vendors, etc.
    • Use a combination of software packages proficiently including Microsoft Word and Power Point. Willingness and ability to learn Excel, InDesign and Adobe Photo Shop.
    • Use equipment such as a digital camera and scanner.
    • Must be professional when interacting with clients and prospective clients.
    • May perform other duties to meet the operational needs of the firm.

    Qualifications

    • BA/BS in Marketing, English or Communications is preferred
    • Administrative experience required with experience in engineering or related field a plus
    • Previous relevant work or co-op experience preferred
    • Must be computer literate with proficient skills in MS Word and Power Point
    • Willingness and ability to learn other software packages including Deltek Vision, Excel, Photo Shop, inDesign
    • Must have strong verbal, interpersonal and written communication skills
