Provides administrative support of multidiscipline design services for Project Managers. The Project Assistant will provide assistance and verification to ensure the Quality Management System processes are implemented and utilized throughout the lifecycle of the project, track financial performance of projects based upon agreed fee structures and will coordinate the drafting and updating of Resource Project plans. The Project Assistant works collaboratively with Project Managers and technical Discipline Managers to ensure the accuracy of the resource plans and schedule coordination as project timelines and workloads change during the life of projects. Projects will be of low to moderate complexity.

Responsibilities

  • Assist Project Managers to coordinate project schedules with the project team; overall financial tracking and performance of projects; and maintaining project documentation, as necessary.
  • Oversee the Resource Project Planning efforts via the company’s project management software systems, including the plan creation in Deltek Vision and assistance to track and maintain the plan throughout the project’s lifecycle.
  • Coordination with the Project Manager on the expected schedule milestones for all projects.
  • Act as Project Manager in their absence, as needed, to coordinate and run project meetings.
  • Assist Project Managers to distribute hard copy or digital formatted documents; create electronic transmittals; and the posting of electronic project files to Web-based document publishing systems depending on the project needs.
  • Manage resource planning processes and system to ensure the availability of plans are provided on time to project personnel. 
  • Perform miscellaneous job-related duties as assigned by Project Managers.
  • Distribution of plans and reports in hard copy or digital format depending on the project needs.
  • Train and assist company personnel on the use of Deltek Vision planning software and project workflow processes including the use and purpose of the Quality Management System as needed.
  • Shares job knowledge and experience to help develop, train, and enhance the skill-set of all personnel.
  • Coordinate and participate in project audits as needed.
  • Guide Document Control efforts related to project specific information as needed.
  • Perform miscellaneous job related duties as assigned.

Qualifications

  • Minimum of 2 years of education at an accredited college in a field that is related to the duties and responsibilities specified or at least 2 years of experience that is directly related to the duties and responsibilities specified.
  • Effective planning and strong organizational skills with the ability to work with a high degree of accuracy and recall.
  • The ability to prioritize, multi-task, and work effectively/efficiently independently or with minimal supervision. 
  • Strong written, oral interpersonal, group and telephone communication skills.
  • Administrative experience in Microsoft Office, including Word, Excel, Access and Outlook. 
  • Professional appearance and demeanor.
