Overview

NV5 is a provider of engineering and consulting services to public- and private-sector clients. Through its Real Estate Transaction Services group, GRS, NV5 supports commercial real estate transactions with services that include land surveying, zoning, environmental site assessments, property condition assessments, seismic risk assessments, and construction-related due diligence.

 

NV5 is seeking a Client Account Operations Specialist to support our group's high-volume project portfolio. Embedded within team operations, this role becomes engaged once an invoice is issued and is responsible for its administrative tracking and client communication through payment collection. The specialist works directly with clients, sales representatives, project managers, service coordinators, leadership, and NV5 corporate accounting to confirm payment status, remove barriers, document commitments, and drive timely resolution. A key responsibility is maintaining accurate documentation and actionable reporting that demonstrates progress, supports effective follow-up, and helps prevent outstanding invoices from becoming increasingly aged.

 

This client-facing business operations role offers an opportunity to strengthen client relationships, improve account visibility, and help establish a consistent account management process. Success in this position requires professional persistence, sound judgment, disciplined documentation practices, and the ability to identify the root causes of payment delays while coordinating the appropriate response to achieve resolution.

Responsibilities

Client Account Ownership

  • Own the structured tracking and follow-up process for invoices from issuance through payment, with activity aligned to client payment terms and internal protocols.
  • Contact clients to confirm receipt, processing status, expected payment timing, and any requirements preventing payment.
  • Proactively develop relationships with AP leads at key clients to understand their payment cycles and set efficient means to update the AR status during monthly calls.
  • Manage a high-volume portfolio by prioritizing activity based on invoice age, dollar value, client history, transaction status, and business risk.
  • Document all communications, client commitments, disputed items, internal owners, escalation actions, and next steps in designated NV5 systems.
  • Provide responsive, professional client service while maintaining clear expectations and consistent follow-through.

Project and Invoice Issue Resolution

  • Research outstanding invoices to identify whether delays relate to invoice receipt, client portals, purchase orders, vendor registration, documentation, contract terms, project delivery, transaction status, scope questions, or service concerns.
  • Coordinate with GRS project managers and service-line leaders to resolve questions involving surveys, zoning reports, environmental assessments, property condition assessments, seismic risk assessments, and construction services.
  • Confirm that invoices align with the correct project, property, client entity, fee, and applicable supporting documentation.
  • Coordinate resolution of portfolio billing requirements, report acceptance questions, reliance documentation, client-specific forms, and other transaction-related barriers.
  • Assign or confirm internal ownership of each open issue, establish a follow-up date, and escalate unresolved or high-risk matters through established protocols.
  • Prepare complete account histories and supporting information for leadership and corporate accounting decisions; route adjustments, credits, contractual concerns, and write-off requests to the authorized decision-makers.

Reporting, Controls, and Process Improvement

  • Prepare weekly aging and resolution reporting for GRS leadership, emphasizing changes, risks, commitments, and accounts requiring intervention.
  • Support recurring GRS account-review meetings with project managers, operational leaders, and NV5 corporate accounting.
  • Track recurring delay reasons by client, project manager, service line, and issue category to identify preventable causes.
  • Recommend improvements to project setup, client-contact data, invoice documentation, portal requirements, handoffs, and escalation procedures.
  • Help establish and maintain standard operating procedures, contact cadences, reporting definitions, and documentation expectations for the GRS client-account process.

Cross-Functional Partnership

  • Serve as the operational link among Clients, Project Teams, Service-line Leadership, and NV5 corporate accounting.
  • Coordinate with corporate accounting to access the records and supporting information needed to research and resolve client account issues.
  • Communicate emerging Client or portfolio risks to Leadership promptly and with sufficient supporting information for action.

Qualifications

  • 3+ years of experience in client account support, project administration, billing operations, contract administration, or a comparable high-volume professional-services environment.
  • Demonstrated ability to manage a large portfolio of open items with accurate documentation, prioritization, and consistent follow-through.
  • Experience communicating directly with business clients regarding invoices, documentation requirements, account questions, or payment status.
  • Strong research and problem-solving skills, including the ability to distinguish administrative issues from substantive project or client concerns.
  • Proficiency with Microsoft Suite, including but not limited to Excel, Outlook, Teams, and business systems used to manage project or financial information.
  • Strong written and verbal communication skills and the ability to handle sensitive conversations professionally.
  • Ability to work independently, meet deadlines, exercise sound judgment, and collaborate effectively across organizational functions.

Preferred Qualifications

  • Associate or bachelor's degree in business administration, operations, accounting, finance, or a related field; equivalent relevant experience will be considered.
  • Experience in commercial real estate due diligence, engineering, environmental consulting, land surveying, construction services, or another project-based professional-services business.
  • Experience with Deltek Vantagepoint, Deltek Vision, or a comparable enterprise resource planning or project accounting system.
  • Experience developing reports, operating procedures, process controls, or workflow improvements.

Measures of Success

  • Assigned invoices are tracked from issuance and receive timely, documented follow-up under the established contact cadence.
  • Fewer balances migrate into older aging categories, particularly from 31-60 days into 61-90 days and beyond.
  • Client payment commitments, open issues, internal owners, and next actions are complete and current.
  • Invoice and project issues are identified early, routed correctly, and resolved within defined timeframes.
  • Weekly reporting is accurate, actionable, and reliable for management decision-making.
  • Recurring causes of delayed payment are identified and translated into practical process improvements.

 

The pay range for this remote position is $32.00-35.00 per hour. Base pay offered may be higher or lower depending on job-related knowledge, skills, experience, and location of the candidate. Restricted stock units may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered.
