Overview

The Proposal Coordinator is a key role on the State and Regional Sales team within NV5 Geospatial by creating technical proposals and associated documents while differentiating our solutions from the competition. Under the supervision of the Proposal Manager, the Proposal Coordinator will work closely with cross-functional teams to coordinate the proposal process from initial request through final delivery, ensuring the proposal is compliant, compelling, and delivered on time. Success in this role is measured by the ability to collaborate with multiple departments to generate and deliver high-quality proposals. Primary responsibilities include technical document creation, scope of work comprehension, effective communication with the sales team, and adherence to deadlines.  The successful candidate will have a passion for writing, attention to detail, and the ability to juggle multiple priorities in a fast-paced environment. Preference will be given to candidates who have prior experience in proposal coordination or development.  Remote work considered!

Responsibilities

  • Coordinate the proposal development process, including conducting kick-off meetings, creating, and managing schedules, tracking deliverables, and coordinating reviews and approvals.
  • Occasional travel for printing and shipping proposals through a 3rd party provider.
  • Review and understand project technical scope of work.
  • Compose, review, and edit effective persuasive original writing for unique sections of proposals, such as project approach, executive summaries, project descriptions.
  • Bring forward and execute innovative ideas on presentation, including the design of compelling infographics.
  • Continuously evaluate and improve the proposal process to increase efficiency and effectiveness.
  • Ensure compliance with RFP formatting and content requirements.
  • Maintain assigned workload while meeting multiple and shifting deadlines.
  • Communicate and coordinate with the sales team and technical specialists.

Qualifications

 Minimum Qualifications:

  • BA or BS in writing, communications, geospatial, science, geography, surveying, or related field.
  • Excellent writing skills (grammar, punctuation, spelling, vocabulary, clarity, brevity, engagement, flow) and interest in synthesizing/presenting information in written format.
  • Proficiency in using Microsoft software suite, specifically Teams, Outlook, Word, Excel, PowerPoint, and SharePoint.
  • Analytical and critical thinking skills.
  • Strong attention to detail and ability to follow through on tasks.
  • Demonstrated ability to manage multiple priorities and meet tight deadlines.
  • Ability to maintain assigned workload while meeting multiple and shifting deadlines.
  • Self-motivated and self-disciplined.
  • Strong organizational and communication skills.

 Desired Additional Qualifications:

 

  • 2-4 years of work experience coordinating/writing/compiling sales or grant proposals, or related persuasive writing role.
  • Graphic design experience, including knowledge of Adobe Creative Suite (InDesign, Photoshop, Acrobat, etc.).
  • Association of Proposal Management Professionals (APMP) Bid/Proposal Foundation Certification (CF APMP).
  • Understanding of industry standards and best practices for proposal excellence, as defined by organizations like APMP or Shipley.
