Overview

The Office Assistant works closely with the Office Manager and across all departments. This position must have competent knowledge of customer and client service, and serves as a company representative to clients, agencies and the general public during the everyday duties performed.  The Office Assistant possesses excellent communication and organizational skills.
 
This position reports directly to the Regional Director of Human Resources.
 

Work Environment:

  • Location:  NV5 Regional Office in Gainsville, FL
  • Travel < 10% of the time

Responsibilities

  • Scan documents daily as they are delivered and save in the appropriate electronic file for all departments, including but not limited to incoming/outgoing correspondence, agency plan review comments/plans, redlined plans received from agencies, and construction permits and plans
  • Perform quality inspection during and after the scanning of each document or document set for accuracy and image quality
  • Keep up with scanning items on a daily basis as to prevent any backlog
  • Estimate, schedule, and track incoming production jobs
  • Maintain optimal printer and machine performance maintenance
  • Operate standard finishing equipment (i.e. paper cutters, hole punchers, coil binding systems)
  • Interact with the client, client’s project personnel, and regulatory agencies as the Company representative while performing deliveries and pickups
  • Electronically filing the project file in the “Archive” drive and updating our database, ORCA
  • Production of plan sets to include printing, assembling, binding, date stamping and stamping engineers seal on plans

Qualifications

  • High School diploma or equivalent degree (GED)
  • Valid driver's license and a favorable Motor Vehicle Report (MVR)
  • Organizational skills
  • Time management skills
  • Customer service skills
  • Follow through in a consistent manner
  • Basic computer literacy (Microsoft Office, Adobe Acrobat, and BlueBeam)
